The Bishop's School Alumni Association ("BSA", "we", "us") is the alumni association of Bishop's School in Amman, Jordan. For the personal data collected through this website, BSA is the controller within the meaning of Jordan's Personal Data Protection Law No. (24) of 2023 and the instructions issued under it.

This policy covers the BSA website and all of its pages (Home, Events & News, Store, and this page), including the contact and registration form on it.

a. What you give us — the contact and registration form

When you send the form we receive: your first and last name, email address, the subject you chose and your message. Optionally, and only if you choose to fill them in: your phone/WhatsApp number and graduation year. The IP address the message was sent from and the time of sending are attached to it, for one purpose only: protecting the form against abuse and automated submissions.

b. Technical data

Like every website, our hosting provider (Cloudflare) processes technical data when you visit: IP address, browser and device type, the pages requested and when. This is used to serve the site securely and to prevent abuse. Our server also keeps a short-lived counter tied to your IP address to limit how many messages can be sent (five per hour); it is erased automatically within the hour.

c. What stays on your device and never reaches us

• Your language preference (عربي/English) — stored in your browser so your choice is kept when you return.
• Your store basket — the products you add are stored in your browser only. Online checkout is not available yet; the "Email this basket" button opens your own email program with a pre-written message and sends nothing to us by itself.
• An "intro shown" flag — a small technical marker so the opening animation does not replay on every page during the same visit; it is cleared when you close the browser.
• Your visit-counting choice — if the consent banner is shown, your answer (Allow / Essential only) is stored in your browser so we do not ask again.

We process your data for these purposes only:

• To answer your enquiry or request and to correspond with you about it.
• To register you as a BSA member and keep membership records, if you ask for that.
• To protect the website and the form against abuse.
• To meet our legal obligations where they apply.

The legal basis for this processing is your consent, which you give by filling in and sending the form after reading this policy, together with BSA's legitimate interest in running its website securely, in line with the Personal Data Protection Law. We will not use your data for a purpose different from the one it was collected for without informing you and obtaining your consent where the Law requires it.

We do not sell your data or share it with anyone for their own marketing. We rely on a small number of service providers who process data on our behalf and on our instructions ("processors"), and on providers the site loads resources from:

Your message then lands in the club's mailbox, where only authorised BSA officers read it. We may disclose data where the law requires it or a competent authority requests it within its powers.

The providers listed above operate from servers outside the Hashemite Kingdom of Jordan (mainly in the European Union and the United States). Sending the form therefore transfers your data to those servers for the purpose of delivering it to us.

We carry out this transfer under the conditions set by the Personal Data Protection Law: with your explicit consent given when you send the form, and only through providers that are contractually bound to an adequate level of data protection and are subject to recognised data-protection regimes. If you would rather your data did not leave Jordan, you can contact us another way (by phone or in person) instead of using the form.

• Form messages: kept in the club's mailbox for as long as needed to handle and answer your request. If you register as a member, your details are kept in the membership records for the duration of your membership, then deleted or anonymised unless the law requires us to keep them longer.
• The abuse-protection counter: erased automatically within one hour at most.
• Technical logs at our hosting provider: according to Cloudflare's standard retention periods.

You can ask us to delete your data at any time before these periods end (see "Your rights").

We take reasonable technical and organisational measures to protect your data, including: full encryption of the connection to the site (HTTPS); access to the site's admin panel restricted by a hashed password and time-limited sessions; limits on repeated login and submission attempts; and access to messages limited to authorised BSA officers.

No method of transmission or storage is completely secure. If a breach affecting your personal data occurs, we will notify the competent authority and the people affected as the Personal Data Protection Law requires.

The Personal Data Protection Law No. (24) of 2023 gives you the following rights over the data we hold about you:

To exercise any of these rights, send your request to info@bishopsschoolalumni.com from the same email address you used with us, or attach proof of identity. We will respond within the time limits the Law sets, and in any case within thirty days. Exercising these rights is free and will never affect how BSA treats you.

This website is intended for Bishop's School alumni and friends of the association, who are adults. We do not knowingly collect personal data from anyone under eighteen without a guardian's consent. If you become aware that a minor has given us data without that consent, contact us and we will delete it.

The site links to websites and services we do not operate: our Facebook group, Instagram account, the two app stores and our partners' websites. Each has its own privacy policy, and we are not responsible for their practices. We recommend reading their policies before giving them any data.

We may update this policy when the site's services or the legislation change. The updated version is published on this page with its "last updated" date at the top and applies from the date of publication. If a change is material and affects how we use data you have already given us, we will make reasonable efforts to notify you directly.
